Automations by Process

These are the processes we're asked for most. Each one is a recipe chain with its own error handling, not a one-way export.

Employee lifecycle: joiner, mover, leaver

The HRIS is the source of truth. A new hire triggers account creation, group membership, LMS enrolment and an IT provisioning ticket. A role change updates entitlements. A leaver reverses all of it. Event-driven, so nothing waits for someone to notice.

Learning and compliance reporting

Completion and certification records move out of the LMS into the HRIS and into reporting. Runs on a schedule with reconciliation, so a missing record raises an alert rather than becoming a gap you find during an audit.

Lead to cash

Closed-won pushes customer, line items and billing detail from the CRM into the ERP the moment the stage changes, instead of three days later when someone keys it in.

Customer and account master sync

Bi-directional between CRM and ERP so sales and finance work from the same record. Which system owns which field is decided in discovery and enforced in the recipe.

Internal IT and ticket workflows

Ticket and issue sync between service management and engineering tracking, with approvals routed into chat so people respond where they already work.

Partner and vendor file exchange

Files in and out over SFTP, scheduled or event-triggered. Validated and transformed on arrival, loaded into the target system, reconciled against what was expected.

Document intake

Invoices, forms and contracts read with Workato's intelligent document processing and written into the ERP or CRM as structured records. Anything below the confidence threshold routes to a human instead of guessing.

What systems can you integrate with Workato — ERP, CRM, HR, finance, and legacy applications?

All of the above. Workato ships with 1,200+ pre-built connectors covering NetSuite, SAP, Salesforce, HubSpot, Workday, BambooHR, QuickBooks, Snowflake, ServiceNow, Jira, and most major SaaS tools. For anything without a connector — homegrown apps, on-prem ERPs, older databases — we build custom connectors via REST/SOAP APIs, JDBC, SDK, or Workato's on-prem agent. In practice, if a system has an API, a database, or a file drop, we can integrate it.

How do you decide between a pre-built connector and a custom API connector for our systems?

Pre-built wins by default: faster to ship, maintained by Workato, easier for your team to support. We go custom when the pre-built connector doesn't cover the objects or actions you actually need, when the system is homegrown or on-prem, when API rate limits or auth requirements demand specific handling, or when performance at your data volumes requires it. We make that call during discovery and tell you the trade-off in build time and long-term maintenance before committing.

How long does a typical Workato implementation take?

Depends on scope, not on us. A focused first integration — two systems, one clear process — typically goes live in 2–4 weeks. A multi-system rollout with custom connectors and complex data transformation usually runs 8–16 weeks. Migrations from an existing iPaaS take longer because you're rebuilding logic, not writing it fresh. After discovery we give you a phased timeline with dates per phase rather than one distant go-live, so you see value early and can adjust as priorities shift.

Can you migrate our existing MuleSoft, Boomi, or point-to-point integrations to Workato without downtime?

Yes, in almost all cases — through parallel running rather than a hard cutover. We rebuild integrations in Workato, run both systems side by side, reconcile outputs until they match, then switch traffic over integration by integration. Your existing setup stays live as the fallback throughout. Some systems have hard constraints — single-session API limits, webhook endpoints that can only point one place — where a short planned window is unavoidable. We identify those in discovery so there are no surprises at cutover.

Do you offer a phased implementation approach, or is it all-or-nothing?

Phased, and we recommend it. Big-bang integration projects fail slowly and expensively. We start with one or two workflows that carry real business pain and measurable impact, ship them, prove the platform in your environment, then expand. Each phase is independently valuable, so you're never stuck mid-project with nothing running. It also means your team learns Workato progressively instead of absorbing a whole platform at handover. If you need a full rollout on a fixed deadline, we'll scope that too.
